Privacy Policy

This Privacy Policy explains how Textivo ("Textivo," "we," "us," or "our") collects, uses, and shares information when you use the Textivo platform and related services (the "Service"). It applies to information we handle as a business, and to information we process on behalf of our customers.

1. Our Role: Controller and Processor

For information about our account holders (such as agency and workspace users), Textivo acts as a controller. For the contact lists, phone numbers, message content, and related data that our customers upload or generate to run their own campaigns ("Customer Data"), Textivo acts as a processor and handles that data on the customer's instructions. If you are a message recipient and want to exercise your rights, please contact the business that messaged you; we will assist that business as needed.

2. Information We Collect

  • Account information — name, email, password (hashed), role, and the agency/workspace you belong to.
  • Customer Data — contacts, phone numbers, names, custom fields, message and call content, dispositions, notes, and pipeline records that you or your organization add to the Service.
  • Messaging and call metadata — send/delivery status, timestamps, opt-outs, segment counts, recordings and transcriptions where enabled, and error details.
  • Usage and device data — log data, IP address, browser type, and actions taken in the Service, used for security and to operate the platform.
  • Billing information — plan, balances, and payment records. Card details are handled by our payment processor and are not stored by Textivo.
  • Integrations — tokens and data you connect (for example, calendar availability via Google, or Slack channels), used only to provide the features you enable.

3. How We Use Information

  • To provide, operate, secure, and improve the Service;
  • To send transactional messages such as invitations, password resets, and receipts;
  • To process payments and manage balances;
  • To provide support and communicate about the Service;
  • To detect, prevent, and address fraud, abuse, and security incidents; and
  • To comply with legal obligations and enforce our terms.

We do not sell your personal information, and we do not use Customer Data for our own advertising.

4. How We Share Information

We share information only as needed to run the Service:

  • Service providers / sub-processors — including telecommunications carriers and messaging providers (to deliver SMS/MMS and calls), our payment processor (to handle billing), our email-delivery provider (to send transactional email), and cloud hosting. These providers process data on our behalf under appropriate terms.
  • Within your organization — agency and workspace administrators can access data in the accounts they manage.
  • Legal and safety — where required by law, to respond to lawful requests, or to protect the rights, property, and safety of Textivo, our users, or the public.
  • Business transfers — in connection with a merger, acquisition, or sale of assets, subject to this Policy.

5. Data Retention

We retain information for as long as your account is active or as needed to provide the Service, comply with legal obligations, resolve disputes, and enforce our agreements. Customer Data is retained per the customer's configuration and instructions; when an account or workspace is deleted, associated data is removed or de-identified within a reasonable period, subject to backup cycles and legal requirements.

6. Security

We use technical and organizational measures to protect information, including encryption in transit, hashing of passwords, encryption of stored credentials, access controls, and tenant isolation. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

7. Your Rights and Choices

Depending on your location, you may have rights to access, correct, delete, or port your personal information, or to object to or restrict certain processing. Account holders can update much of their information in the Service directly. To make a request, contact us at privacy@textivo.io. Where we act as a processor, we will refer your request to the relevant customer. Message recipients can opt out of SMS at any time by replying STOP (or a similar keyword) to any message.

8. Cookies and Similar Technologies

We use essential cookies and local storage to keep you signed in and to operate the Service. We do not use the Service to serve third-party advertising.

9. International Data Transfers

We may process and store information in countries other than where you are located. Where required, we use appropriate safeguards for such transfers.

10. Children's Privacy

The Service is not directed to children under 18, and we do not knowingly collect personal information from them. If you believe a child has provided us information, please contact us and we will delete it.

11. Changes to This Policy

We may update this Policy from time to time. If we make material changes, we will post the updated Policy with a new "last updated" date and, where appropriate, provide additional notice.
